Exporting client documents to Dropbox

Connect the Banqup Business Space of your clients (from within your Partner Space) to Dropbox to automatically export your clients’ documents. This integration ensures your documents flow seamlessly to Dropbox, reducing manual work.

Step 1: Installing the extension

  1. Open the app launcher from your Partner Space.

  2. Click Discover more.

  3. Search for "Dropbox".

  4. Click Install.

  5. Confirm access permissions.

Step 2: Connecting to Dropbox

  1. Click Sign in with Dropbox.

  2. Log in to your Dropbox account.

  3. Allow Banqup to edit your Dropbox.

  4. You’ll see a confirmation that the installation was successful.

Your Dropbox account is now connected, and documents will be exported automatically.

Step 3: Activating the extension for a client

Now that the extension is configured, activate it for specific clients:

  • Go to Clients.

  • Double-click on a client.

  • Navigate to the Integrations tab.

  • Click Add integration.

  • Select Dropbox.

How documents are stored in Dropbox

Once activated, approved purchase invoices and sent sales invoices are exported automatically from Banqup to Dropbox.

Documents are stored in a structured folder system:

  • Invoice_import → Main folder containing all business documents

  • Business folders → Named with company name and VAT number (e.g. John Doe Group_BE0123456789)

  • AP folder → Contains purchase invoices

  • AR folder → Contains sales invoices

  • Individual files → Named with sync date, invoice number, and unique ID

This structure makes it easy to locate documents and integrate them into accounting workflows.

Important notes

  • Exporting creates copies of your documents in Dropbox. The originals remain in Banqup.

  • If you delete a document in Dropbox, it will not be deleted from Banqup.

  • If you delete a document in Banqup after it has been synced, it will still remain in Dropbox.

Disconnecting Dropbox

If you need to disconnect the Dropbox integration for all your clients:

  1. Go to the Dropbox extension in Banqup.

  2. Click Manage.

  3. Toggle off the Active setting.

  4. Confirm your decision.

FAQ

Can I export historical documents?

No, only documents approved or sent after activating the extension will be exported.

What file format are the documents exported in?

Documents are exported in Peppol BIS 3.0 UBL format.

Is the connection secure?

Yes, Banqup uses Dropbox’s secure OAuth authentication process. Banqup never stores your Dropbox password, and all data transfers are encrypted.
