Exporting client documents to Google Drive

Connect the Banqup Business Space of your clients (from within your Partner Space) to Google Drive to automatically export your clients’ documents. This integration ensures their documents flow seamlessly to Google Drive.

Step 1: Installing the extension

  1. Open the app launcher from your Partner Space.

  2. Click Discover more.

  3. Search for "Google Drive".

  4. Click Install.

  5. Confirm access permissions.

Step 2: Connecting to Google

  • Click Sign in with Google Drive.

  • Log in with your Google account.

  • If prompted with a Google warning, click Continue.

  • Allow Banqup to edit your Google Drive.

  • You’ll see a confirmation that the installation was successful.

Step 3: Activating the extension for a client

Once the extension is configured, activate it for specific clients:

  • Go to Clients.

  • Double-click on a client.

  • Navigate to the Integrations tab.

  • Click Add integration.

  • Select Google Drive.

How documents are stored in Google Drive

Once activated, approved purchase invoices and sent sales invoices are exported automatically from Banqup to Google Drive.

Documents are stored in a structured folder system:

  • Invoice_import → Main folder containing all business documents

  • Business folders → Named with company name and VAT number (e.g. John Doe Group_BE0123456789)

  • AP folder → Contains purchase invoices

  • AR folder → Contains sales invoices

  • Individual files → Named with sync date, invoice number, and unique ID

This structure makes it easy to locate documents and integrate them into accounting workflows.

Disconnecting Google Drive

If you need to disconnect the Google Drive integration for all your clients:

  1. Go to the Google Drive extension in Banqup.

  2. Click Manage.

  3. Toggle off the Active setting.

  4. Confirm your decision.

Notes

  • Exporting documents occurs automatically for documents approved or sent after activating the extension.

  • Original documents remain in Banqup even after exporting to Google Drive.

FAQ

Can I export historical documents from before I installed the extension?

No, only documents arriving in your Banqup space after activating the extension will be exported.

Is the connection secure?

Yes, Banqup uses Google’s secure OAuth authentication process. Banqup never stores your Google password, and all data transfers are encrypted.

What file format are the documents exported in?

Documents are exported in Peppol BIS 3.0 UBL format.
