Understanding accounting statuses

As an accountant, every client document in Banqup has an accounting status that shows where it stands in your processing workflow. These statuses help you track which documents need attention, which are being processed, and which have been completed.

How accounting statuses help

Accounting statuses give you clear visibility into your client document workflow and help you prioritise your work efficiently. You can see at a glance what needs immediate attention versus what's already been handled:

  • Identify which client documents need processing.

  • Track documents sent to integrations.

  • Mark documents as complete when your work is finished.

Accounting status types

Client action needed

The client's document isn't ready to be shared yet. The client may need to validate or approve the document first.

Contact your client if needed to help them complete any required actions before the document can be processed.

Queued

The document is waiting to be processed by your accounting integrations. This appears when documents are ready to be shared, being resent after an error, or being retried after a failed delivery.

No action needed. The system is handling the document processing automatically.

Ready to process

The document has successfully reached your accounting system and is waiting for you to review and process it.

Review the document and process it in your accounting workflow. This is where you'll spend most of your active time.

Processed

You've completed your work with the document and marked it as done.

No further action needed. The document is complete and can serve as a record of completed work.

Error

Something went wrong when trying to share the document through your integrations. This could be due to connection issues, missing information, or technical problems.

Review your integration settings or contact support if the issue persists.

How statuses change automatically

From client validation to sharing: When clients validate or approve documents, they automatically change to "Queued" status, ready to be shared with your accounting system.

During the sharing process: The system automatically moves documents through "Queued" to "Ready to process" as they're delivered to your accounting integrations.

Error handling: If there's a problem during sharing, the status changes to "Error".

Changing the status manually

As an accountant, you can manually change accounting statuses when needed:

  • Mark as processed: Changes the status to "Processed" when you've completed your work with a document in your accounting system.

  • Send to integrations: Sends the document to your connected accounting software or integrations, changing the status to "Queued."

  • Resend to integrations: If there was an error or you need to reprocess a document, you can resend it through your integrations.

Best practices

  • Use status filters to focus on documents that need processing ("Ready to process").

  • Mark documents as processed promptly to keep your workflow organized.

  • Regularly check for documents in "Error" status that need attention.
