Exporting client documents to SharePoint

Connect your Partner Space to SharePoint and Banqup uploads your clients' invoices and enriched movement reports to a SharePoint site automatically. The accounting records you process stay stored and searchable inside the Microsoft environment your firm already uses. You install the extension once and switch it on per client.

Before you start

  • You need a Microsoft work or school account with access to the SharePoint site you want to use. Microsoft does not accept personal accounts (Outlook.com, Hotmail, Live) for this connection.

  • Set up the integration from your Partner Space, not from inside a client's Business Space.

Installing the extension

  1. Open the app launcher and click Discover more to open the Banqup Store.

  2. Search for "SharePoint" and open the SharePoint app.

  3. Click Install.

  4. Confirm that SharePoint may access the data in your space.

  5. If Banqup lists a prerequisite app, click Yes, install all. It is installed and activated for you.​

The installation takes a few seconds. Keep the window open. The wizard then walks you through the configuration.

Choosing what to export

  1. Tick the document types to export: Purchase documents, Sales documents and Enriched movement reports. All three are selected by default.

  2. Click Save configurations.

  3. Choose the export format for Purchase documents and Sales documents: Peppol BIS 3.0 (a structured electronic invoice file) or PDF.

  4. Click Save configurations.

Connecting to Microsoft

  1. Click Sign in with SharePoint.

  2. Sign in with your Microsoft work or school account and accept the permissions Banqup asks for.

  3. You are brought back to Banqup.​

Note: If you closed the wizard before signing in, the extension stays at Pending. Open it from Space settings > Extensions, open the Configuration tab and click Complete configuration to pick up where you left off.

Choosing where the files go

After the sign-in, Banqup asks for the SharePoint location:​

  • Site ID: the SharePoint site to upload to.

  • Drive ID: the document library on that site.

  • Upload path for sales invoices, Upload path for purchase invoices and Upload path for enriched movement reports: the folder inside the library. Leave a path empty to use the default path shown under the field.​

Placeholders let one path serve every client. Banqup replaces them per file:

  • [company_name]: the client's company name.

  • [uen_number]: the client's company number.

  • [invoice_type]: purchases or sales.

  • [external_id]: the client's reference in your accounting package. Fill it in on the client's details for this to work.

  • For enriched movement reports: [year] (the current year) and [type] (the type of report, "cod" by default).​

Click Save configurations.

Activating the extension for a client

The extension is installed once. Switch it on for each client whose documents should go to SharePoint.​

SharePoint only appears in this list once the Microsoft connection is complete. While the extension is still at Pending under Space settings > Extensions, it is not offered for a client.

  1. Go to Clients.

  2. Open the client.

  3. Open the Integrations tab.

  4. Click Add integration.

  5. Select SharePoint and click Save.​

From that moment, the client's approved purchase invoices, sent sales invoices and enriched movement reports are uploaded to the SharePoint location you configured. Repeat for every client.​

How documents are exported

  • Only documents that arrive after you activate the integration for a client are exported. Older documents are not sent retroactively.

  • The original documents stay in Banqup and in the client's space. The upload is a copy.

Changing the connection or switching it off

  • To change the document types, formats, paths or the Microsoft account for the extension itself: Space settings > Extensions > SharePoint > Configuration tab. Turn on Change connection settings to sign in with another account.

  • To change one client's settings only: Clients > the client > Integrations tab > the three dots next to SharePoint > Edit.

  • To pause the export for everyone, switch the extension to Inactive. To remove it, click Uninstall.

FAQ

Can I use my personal Microsoft account?

No. Microsoft only allows work or school accounts for this connection. If you see "You can't sign in here with a personal account", sign in with the account your company uses for Microsoft 365.

Is the connection secure?

Yes. Banqup uses Microsoft's own sign-in. Banqup never sees or stores your Microsoft password, and the transfer is encrypted.

Can different clients go to different SharePoint folders?

Yes. Use placeholders such as [company_name] or [external_id] in the upload paths, or edit the paths per client from the client's Integrations tab.

Does my client see the integration?

The integration runs from your Partner Space. Your client keeps working in their Business Space as usual, and their documents remain there.
