You can create sales invoices, credit notes, quotes and self-billing documents in the Banqup One app and send them to your customers. The app uses the same Document Creator as the web app, with the same settings, business partners and numbering.
Starting a new document
Open Document Creator from your favourites on the home screen or from Apps.
Tap the round button in the bottom right corner.
Choose the type of document: Sales invoice, Sales credit note, Sales quote, Self-billing invoice or Self-billing credit note.
You can also start from the home screen: under Add document, tap Create. This shortcut offers sales invoices, sales credit notes and sales quotes. For self-billing documents, use Document Creator.
The new document opens with your company already filled in as Supplier. For a self-billing document, you create it on behalf of your supplier. See Self-billing in Banqup.
Filling in the document
Customer
Tap Select a customer and search for the customer.
If the customer is not one of your business partners yet, add them from the search results.
To check how the document will reach your customer, tap Edit delivery channels.
Tap the three dots next to the customer to change the customer or edit their details.
Invoice details
The Invoice details block shows the document number, the document date, the due date and the currency. To change them, tap Edit. You can set the Invoice number, the Invoice date, the Due date, the Document type, the currency and a Delivery date (optional). Tap Add extra fields for more fields, then tap Save.
Invoice lines
Under Invoice lines, tap Add invoice line.
Fill in the Item name, the Quantity and the Unit type.
Enter the Unit price and choose the VAT rate.
To give a discount on this line, tap Add discount.
Check the Total (VAT excl.) and tap Add invoice line.
Repeat for every line. To change a line, tap Edit under it.
Payment details
Under Payment, tap Add payment details.
Enter a Payment reference. If you leave it empty, the invoice number is used as the payment reference.
Choose the Payment method and check the Bank account. Your default account is selected.
Tap Confirm.
To add a bank account that is not in the list, or to edit one you added yourself, tap the cogwheel at the top right of the Payment screen.
Notes
Under Additional, you can add Invoice notes for your customer. The Penalty notice, Payment term and discount and Payment conditions fields show the clauses switched on in your Document Creator settings. All these fields are optional.
Saving and sending the document
Tap Save changes. You land on the list of documents you created. Until a document is sent, its number shows as AUTOGENERATE: the final number is assigned when you send it.
Tap the document to open its details. From there you can Edit, Validate or Send it, or tap More... to Clone it, add Labels, open the PDF preview, Attach document, Add comment or Delete it.
Tap Send.
The document is sent through your customer's delivery channel. Peppol is used by default, because it meets the e-invoicing requirements.
If something required is missing or incorrect, a banner tells you so when you save. Tap the button on the banner to open the document and see each problem, for example 'BR-07' The name of your company is missing from the invoice.
FAQ
Where do I change my default due date, notes and currency?
In the Document Creator settings. See Creating quotes, invoices, credit notes with Document Creator. The app uses the same settings as the web app.
My customer is not in the list. What do I do?
Search for the customer's name when you select the customer. If they are not your business partner yet, you can add them straight from the search results.
Why does my document show AUTOGENERATE instead of a number?
A document that has not been sent has no final number yet. Banqup assigns the next number in your numbering sequence when you send it, so your invoices stay in order.
Which channel is used to send my document?
The delivery channel set for your customer. Peppol is the default. You can check it with Edit delivery channels before sending.
