Paying invoices

Learn how to pay invoices through Banqup using your Banqup Business Account or linked bank accounts. Single and bulk payments explained.

Banqup simplifies your invoice handling process by allowing you to pay directly from the platform. With Banqup, there's no need to log in to multiple bank environments, as you can manage all your payments in one place. When you settle an invoice through Banqup, the document is automatically marked as paid, reducing your administrative workload.

There are several ways to pay invoices, we'll go through each one of them below.

Important note: Bulk payments (multiple invoices at once) are only available when using your Banqup Business Account. When paying through linked bank accounts, you can process only one invoice at a time.

Paying invoices from Purchase Invoices

You can pay one or multiple invoices in a single transaction from Purchase Invoices. To do so:

  1. Select one or multiple invoice(s), then click the Pay button.

  2. A payment review screen appears. From here, you can review:

    • Which payment account to use for the payment.

    • The balance of the selected account.

    • The individual invoices selected for payment and their total amount.

    • If issues are preventing the payment (e.g. supplier’s IBAN missing, insufficient funds, warning that a planned payment includes a selected invoice). For each selected invoice, you can pay a partial amount, add the supplier’s bank account information, or remove the invoice. There’s also a button to remove all documents with errors.

    You can also plan when the payment will be made by selecting a payment execution date.

  3. Once you’re ready, click on Pay.

  4. Authorise the payment with:

    • The Banqup One app when paying with your Banqup Business Account.

    • Your bank's environment when paying with a linked bank account.

  5. After the transaction, a payment status summary will pop up.

Paying from the Actions column

  1. Click the three dots in the Actions column.

  2. Select Pay.

  3. A payment review screen appears. Select which payment account to use for the payment.

  4. Click on Pay.

  5. Authorise the payment with:

    • Banqup One when paying with your Banqup Business Account.

    • The identity token provided by your bank.

  6. After the transaction, a payment status summary will appear.

Paying from the invoice details

  1. Click on an invoice to open its details.

  2. Click the Pay button in the top right.

  3. A payment review screen appears. Select which payment account to use for the payment.

  4. Click on Pay.

  5. Authorise the payment with:

    • The Banqup One app when paying with your Banqup Business Account.

    • The identity token provided by your bank.

  6. After the transaction, a payment status summary will be shown.

Paying from Payments

Payments provides a streamlined view of all invoices awaiting payment. This dedicated payment environment offers:

  • Clear overview of pending payments.

  • Built-in approval workflow support.

  • Focus on unpaid invoices only.

To pay invoices:

  1. Go to Payments.

  2. Select one or multiple invoices to pay.

  3. Click Pay.

  4. Select your payment account.

  5. Authorise the payment with:

    • Banqup One when paying with your Banqup Business Account.

    • The signing mechanism provided by your bank when paying with a linked bank account.

  6. After the transaction, a confirmation appears with the status of the payment and the invoices that have been paid.

Note: If your organisation uses approval workflows, invoices must first be approved in Purchase Invoices before they appear as available for payment. This ensures proper payment controls and segregation of duties.

Checking your account balance

Before making a payment, you can quickly check the available balance in your Banqup Business Account or other linked bank accounts (given you've granted consent to access your balance). This information is displayed on the payment review screen.

If the total amount to be paid exceeds your available balance, you can transfer or add money to your account before completing the payment process.

FAQ

What happens if a payment fails?

If a payment fails, you will be informed right away. The status of the affected invoice(s) will remain Unpaid and you can attempt the payment again once the issue has been resolved.

How long does it take for a payment to go through?

The processing time for a payment depends on several factors:

  • Paying with your Banqup Business Account to another Banqup Business Account, the money is transferred instantly.

  • Paying with your Banqup Business Account to an external bank account, the money is transferred within one business day.

  • Paying with an external bank account to a Banqup Business account, the money is transferred within one business day.

  • When paying between external bank accounts, the processing depends on the capabilities of both the sender's and receiver's banks.

Once the payment is processed, the status of the corresponding invoice(s) in Banqup will be updated to Paid and you will receive a confirmation message in your account.
