As an accountant, you can now manually mark client documents as processed directly in Banqup. This gives you better control over document workflow and helps you track which documents have been processed.
When to mark documents as processed
You might want to mark a document as processed when:
You've manually entered the document into your accounting software.
The document has been reviewed and approved but doesn't need further processing.
You want to update the status to reflect completed work.
How to change the accounting status of a document
Step 1: Navigate to the document
Go to Client Documents in your partner space.
Double-click on the client whose documents you want to manage.
Double-click on the relevant folder (for example, "Purchase Invoices").
Step 2: Update the document status
Find the documents you want to mark as processed.
Select the relevant action (mark as processed, (re-)send to integrations, ..) from the dropdown menu.
The document status will immediately change.
Understanding document statuses
The accounting status helps you track where each document stands in your workflow:
Client action needed: The document requires an action from the client before it is ready for processing by the accountant. They might need to validate the data or approve it before the status changes to Ready to process.
Queued: The document is ready to be shared with you (the accountant). If an accounting integration is set up, this is a temporary status: the document will automatically change to Ready to process as soon as the integration has exported the document.
Ready to process: The document is waiting for action from your accounting firm.
Processed: The document has been handled and requires no further action.
Error: We couldn’t export this document using the accounting integrations. You can retry sending the document, or process the document manually.
💡 You can hover over any status with your mouse to get an explanation of what it means.
Tips for effective document management
Regular reviews: Periodically review document statuses to ensure everything is up-to-date and accurate.
Clear criteria: Establish clear criteria for when documents should be marked as processed to maintain consistency.
Team coordination: If you work with a team, make sure everyone understands the status system and uses it consistently.
