You can capture, upload, and manage your purchase receipts easily using the Banqup One mobile app. This helps you stay on top of your business expenses, keep everything organised in one place, and avoid losing or forgetting receipts.
Capturing and uploading receipts
You can add purchase receipts directly from your smartphone using the Banqup One app or using the web app.
Mobile app
Open the Banqup One mobile app and log in.
Tap the plus icon at the bottom-right corner of the screen.
Select Scan (or Upload), then Purchase receipt.
How to use
Choose a supplier: Select one from your existing list of suppliers.
Select a category: For example, restaurant, fuel, office supplies, etc.
If the right category doesn’t exist, tap Add a new one at the bottom of the list.
Add a reason for the receipt (for example, “client lunch” or “fuel for delivery vehicle”).
Tap Scan to open your camera and take a photo of the receipt, or tap Upload to select a file saved on your phone.
You can use the flashlight for better lighting.
You can (de)activate the autocapture when a document is detected.
Tap the capture button to take the photo (if autocapture is off).
If the image isn’t clear enough, you can retake the photo before proceeding.
Once satisfied, tap Use Scan.
The photo screen opens again if you want to add more pages.
If not, tap the thumbnail of your scanned receipt at the bottom-right corner of your screen.
From there, you can add pages, retake, crop, rotate, delete, or zoom using the magnifying glass icon.
When ready, tap Submit.
On the next screen, you can review the document:
Rename the file
Crop or rotate pages
Add or remove pages
Tap Save when done. The receipt is uploaded to Banqup and can be viewed from both Banqup One and the web app.
Web app
You can upload purchase receipts directly through the Banqup web interface from:
Use the Upload button or drag-and-drop functionality to import receipts.
After uploading your purchase receipt(s):
Select a category: For example, restaurant, car, office supplies, etc.
Click Upload.
You can add files or delete files by clicking the trash icon.
Once uploaded, you’ll need to approve the file(s) as explained below.
Reviewing and approving receipts
Uploaded receipts appear in the web version of Banqup for review and approval.
Go to Purchase Receipts.
Select a receipt and click Edit.
Review the information (supplier, category, total, VAT, etc.).
Once everything is correct, click Approve in the top-right corner.
Approved receipts are then ready to be shared with your accountant.
Understanding the document totals
When you open a receipt in the web app, the totals section shows you exactly what's due. Two fields make sure the amount in Banqup matches the amount you actually paid:
Payable Rounding Amount: a read-only field showing any rounding adjustment (for example, 0.01 EUR) that aligns the receipt with standard calculation logic.
Payable Amount: the final total amount due.
Note: You don't need to do anything with the Payable Rounding Amount. It's calculated automatically so your totals always match the real-world amount on the receipt.
Important notes
Receipts uploaded from Banqup One are automatically synced with the Banqup web app.
Newly uploaded receipts appear with the status Awaiting approval until reviewed and approved.
You can enable automatic approval so that receipts where all required fields are correctly identified by OCR skip the “Awaiting approval” stage and move directly to “Approved”. Go to Inbox > click the cogwheel in the top left > Approvals and turn on the Automatic receipt approval toggle. This setting is off by default. It applies to purchase receipts only, not to purchase invoices. Receipts with missing or unclear information are still held for manual review.
Filtering your receipts in the web app
When you have a lot of receipts, you can narrow down the list to find what you need. In the Purchase Receipts list view, click Filter to open the filter options.
Two filters are particularly useful for finding a specific receipt:
Net Amount: filter receipts by their value before taxes.
Total VAT: filter receipts by the VAT amount applied.
You can combine these with the other filters already available (like payment date, purchase category, or status).
FAQs
Can I edit the receipt after uploading it?
Once uploaded, you can edit the data in the web app before approving it.
Where can I find my receipts once uploaded?
All uploaded receipts are stored in the Purchase Receipts section of both Banqup One and the Banqup web app.
What about daily receipts?
Daily receipts and cash register tickets for private individuals do not count as structured e-invoices and are not subject to the Peppol mandate. You can still register these manually in Banqup or scan them using the mobile app to ensure they are included in your periodic accounting submissions.
